How to Send Messages to Contractors

The Messages feature allows authorized client users to communicate with contractors through Appruv.


Messages may be used for:

  • Policy or program updates
  • Safety alerts
  • Emergency-preparedness information
  • Site instructions
  • Upcoming requirement changes
  • Other contractor communications

Recipients receive an email notification and can also view the message in Appruv.

Open Messages

  1. Log in to Appruv.
  2. Select Messages from the left navigation menu.

Your inbox will display received messages. Use the folder selector to view sent messages, drafts, or deleted messages.


 


Create a message

  1. Select New Message.
  2. Select Select Recipients.
  3. Choose the appropriate recipient method.
  4. Review and save the recipient list.
  5. Enter a clear subject.
  6. Compose the message.
  7. Add attachments when needed.
  8. Review the message and recipients.
  9. Select Send.



Select recipients

Depending on your permissions, you may be able to send a message to:

  • All contractors in your network
  • Contractors associated with selected sites or business units
  • Specific contractor companies
  • Individual users

When selecting sites, the message will generally be sent to the applicable contacts and administrators for contractors associated with those locations.


To select individual companies or users, choose the applicable individual-recipient option and search for the intended recipients.




Verify recipients before sending

Select Details on the recipient line to review the companies and users who will receive the message.


Before sending:

  • Confirm that the audience is correct.
  • Remove unintended recipients.
  • Verify the subject and attachments.
  • Do not include information that should not be shared with every recipient.
  • Avoid including confidential or sensitive personal information.

Important: Messages cannot necessarily be recalled after they are sent. Review the recipients and content carefully.


Drafts and sent messages

Save unfinished communications as drafts when available. After sending, use the sent-message folder to verify the communication and maintain a record.
